Business Workflow & Automation Audit

Support & How to Use

Everything you need to run a useful workflow audit in ChatGPT: what to describe, how to prompt the plugin, what the result means and what to do if the widget does not load.

ChatGPT pluginOne workflow at a timeRead-only
01 · Install

Add the plugin in ChatGPT

Once the plugin is publicly available in the ChatGPT Plugins Directory, search for Business Workflow & Automation Audit and install the version published by The UGC Playbook LTD trading as sisincube.

During pre-release or review testing, the plugin may be connected manually by its MCP server. Public users should use the official ChatGPT listing once approved.
02 · Start an audit

Describe one workflow clearly

You do not need a process map or technical documentation. Describe the workflow in normal language. Include the trigger, people or teams involved, systems used, approximate frequency or volume, and where the process tends to slow down or break.

Example prompt

Audit our client onboarding workflow. When a new client signs a proposal, Sales emails Operations. Operations creates a Drive folder and project template, asks the client for assets and access, then manually follows up when anything is missing. Once everything is received, Delivery is notified in Slack. We onboard 10–15 clients a month. The biggest issue is chasing missing information and unclear ownership.
03 · Helpful context

What makes the result stronger

Where relevant, include:

  • what starts the workflow;
  • who owns each stage today;
  • the tools or systems involved;
  • how often the workflow runs;
  • where people wait, chase, copy or re-enter information;
  • common exceptions or failure points;
  • what “complete” or “ready” means;
  • the outcome you want to improve.

Avoid unnecessary names or personal information. Roles such as “Sales”, “Operations” and “Finance” are usually enough.

04 · Read the result

What the plugin returns

The assessment appears as a structured sisincube widget in ChatGPT. Depending on the workflow, it can include:

  • a primary recommendation such as Fix the Workflow First, Conventional Automation, Systems Integration or another best-fit next move;
  • the likely root problem;
  • the highest-priority opportunity;
  • where AI may — or may not — help;
  • eight diagnostic dimensions;
  • three practical next actions;
  • specific things not to automate or introduce yet.
05 · Ask follow-ups

Use ChatGPT to go deeper

After the assessment renders, you can ask follow-up questions in the same conversation. Useful examples include:

Which of these three actions would you implement first if the budget is limited?
What would a better Sales-to-Operations handoff look like?
Which parts could be automated with conventional rules rather than AI?
What information would you need before recommending a specific software stack?
06 · Know the scope

What the plugin does not do

The plugin is intentionally read-only. It does not log into your tools, create workflows, modify business records, send messages, access passwords or implement recommendations on your behalf.

It is designed to help you determine what should change first before selecting or building technology.

07 · Safe use

Do not paste credentials

Never submit passwords, API keys, access tokens, payment details or authentication credentials. Avoid unnecessary sensitive personal information. Read the plugin Privacy Policy for more detail.

08 · Troubleshooting

If the widget does not load

Try the plugin in a new chat

Start a fresh ChatGPT conversation, select Business Workflow & Automation Audit and run the workflow again.

Confirm the plugin is installed

Open ChatGPT's Plugins settings and confirm the plugin is installed and available to the conversation.

Retry after a temporary platform error

If ChatGPT displays a temporary loading or runtime message, retry once. If the issue continues, start a fresh chat rather than repeatedly retrying the same failed component.

Still stuck?

Send a screenshot, a short description of what you were trying to audit, and the approximate time of the error to sisi@theugcplaybook.com. Do not include confidential workflow details unless they are necessary to diagnose the issue.

09 · Need a broader diagnosis?

Use the Smarter Operations Audit

This plugin is deliberately focused on one workflow. If the problem spans several teams, systems or business processes and you are not sure where to start, use the full Smarter Operations Audit.
